The File Manager in Concrete CMS is a comprehensive tool designed to help you organize, manage, and utilize various files—such as images, documents, and videos—across your website. This guide provides an overview of its key features and functionalities to enhance your file management experience.

Accessing the File Manager

To access the File Manager:

  1. Log in to your Concrete CMS dashboard.
  2. Click on the Dashboard icon located in the top-right corner.
  3. From the dropdown menu, select Files.

Uploading Files

You can upload files directly through the File Manager or while editing a page.

  • Via File Manager:
    1. In the File Manager, click the Upload Files button.
    2. Drag and drop files into the upload area or click to select files from your computer.
    3. Once uploaded, the files will appear in the File Manager.
  • While Editing a Page:
    1. In Edit Mode, add a block that requires a file (e.g., Image or File block).
    2. During block configuration, click Choose File.
    3. In the File Manager popup, click Upload Files to add new files.

Organizing Files

Concrete CMS offers several methods to keep your files organized:

  • Folders:
    • Create folders to categorize files.
    • To create a folder, click the New Folder icon, name it, and press Enter.
    • Drag and drop files into folders for better organization.
  • File Sets:
    • Assign files to multiple sets, similar to tags, for flexible grouping.
    • To add files to a set, select the files, click Bulk Actions, choose Sets, and select or create a set.
  • Attributes:
    • Add metadata to files, such as descriptions or tags, to enhance searchability.
    • To edit attributes, select a file, click Properties, and modify the desired attributes.

Searching and Filtering Files

Efficiently locate files using the search and filter options:

  • Search Bar:
    • Enter keywords to search by file name or attributes.
  • Advanced Search:
    • Click Advanced next to the search bar to filter by:
      • Folder
      • File Set
      • File Type (e.g., images, documents)
      • Extension (e.g., .jpg, .pdf)
      • Size
      • Date Added

Managing Files

Perform various actions on your files:

  • View:
    • Click on a file to preview it.
  • Download:
    • Select a file and choose Download to save a copy to your device.
  • Edit:
    • For images, use the built-in editor to crop, resize, or apply filters.
    • To edit, select an image, click Edit, and use the available tools.
  • Replace (Swap):
    • Update a file while retaining its associations.
    • Select the file, click Swap, and upload the new version.
  • Delete:
    • Remove unwanted files by selecting them and choosing Delete.
    • Note: Deletion is permanent; proceed with caution.

Permissions and Access Control

Control who can view or modify files:

  • File Permissions:
    • Set permissions to restrict access to certain user groups.
    • To adjust, select a file, click Permissions, and configure as needed.
  • Password Protection:
    • Protect sensitive files with a password.
    • In the file’s properties, enable Protect with Password and set a password.

Version Control

Concrete CMS maintains versions of your files:

  • View Versions:
    • Access the version history in the file’s detail view.
  • Revert to Previous Version:
    • Select a prior version and activate it if needed.
